JOB SUMMARY: Responsible for stepping in at short notice to ensure the administering, directing, planning and coordinating all office activities. Advocates MCNT’s Vision, Mission and Goals to the staff and physicians in each clinic. Travels to clinics in multiple locations in multiple states.
JOB RESPONSIBILITIES:
1. Manages staff’s daily activities.
2. Manages the training and orientation of staff.
3. Manages the coordination of staffing.
4. Coordinate physician’s daily activities and schedules.
5. Creates and manages new revenue opportunities.
6. Facilitates communication with the Administrative Business Office and the Central Business Office.
7. Facilitates, participates and attends required meetings and professional development activities as designated by immediate supervisor.
8. Conducts monthly physician meetings.
9. Facilitates strategic planning process.
10. Ensures that customers, internal and external, are treated courteously by office staff and that other visitors are screened and properly directed.
11. Facilitates Continuous Quality Improvement projects.
12. Establishes standards to improve efficiency and effectiveness of clinic processes.
13. Schedules and coordinates projects and special assignments.
14. Implement and ensure compliance with laws and regulations that affect the clinic (HIPAA, DOL, OSHA, and CLIA).
1. Responsible for performing to auditing standards in an accurate and timely manner.
2. Responsible for preparing a detailed operations report on all sites managed.
3. Provides coverage at any clerical position as needed.
4. Oversees the end of day processes.
5. Identifies, analyzes and resolves site issues.
6. Responsible for clinic facilities and grounds.
7. Maintain physician and staff licensing information.
1. Responsible for developing, analyzing and managing annual budget.
2. Oversees financial operations in the clinic such as daily balancing, cash deposits, etc
3. Audits daily charge report for missing charges and works reports from the CBO on accounts receivable items
4. Maintain control over ordering of supplies and inventory.
5. Responsible for payment of office expenses in a timely manner.
6. Manages site patient Accounts Receivable balances.
7. Maintain control of clinic expenses and report to physicians.
8. Work with accounting department to resolve financial issues.
1. Hire, train, coach and supervise all employees.
2. Handles all personnel issues with the staff.
3. Manages staff allocations and overtime.
4. Provides ongoing development activities for clinic staff.
5. Monitors compliance with MCNT policies and procedures.
1. Creates and manages a clinic marketing plan.
2. Monitors results of marketing efforts.
QUALIFICATIONS:
1. High school diploma and associate degree, or equivalent in business, bachelor’s degree preferred in a health care related field.
2. Three to five years supervisory experience in a medical office environment and a working knowledge of Medicare and Managed Care practices.
3. Excellent communication, customer service, and organizational skills.
4. Excellent computer skills, knowledge of practice management softwares, Word and Excel.
5. An ability to work under deadlines in a highly demanding environment while maintaining a patient satisfaction focus.
6. Demonstrates a professional appearance and conduct.
INTERACTIONS/ WORKING CONDITIONS:
All levels of staff and physicians within the site and corporate office. Vendors and patients. Normal office environment. Requires extensive travel to multiple locations and States. Establishes immediate communication channels with Tenet Hospital Administration when working at related Tenet Clinics. Extended and possible weekend hours as needed.
PHYSICAL DEMANDS:
Requires prolonged sitting, some bending, stretching, and lightweight lifting. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate verbal and written reports. Ability to manage time and stress efficiently. Ability to drive from site to site.
